Manual entry - Business travel - Staff Vehicles
Use this section to record mileage claims for staff owned vehicles used for business purposes. These are personal vehicles owned by employees and used for business travel.
In most cases, emissions are recorded using mileage claims. If mileage is not available, odometer readings and journey information can be added instead. Odometer readings are generally more useful for company vehicles, where all travel is for business purposes.
Selecting the vehicle and staff member
Go to Manual entry then Business travel then Staff vehicles.
Select the vehicle from the Vehicle field, then select the staff member who drives it from the Staff field.

Mileage
Select the time frame: day, week, month, quarter or year, then enter the total number of miles travelled.
Assign the entry to the relevant business unit and add any tags needed for reporting purposes.
Click Save.

Journey
If you are calculating carbon emissions based on distance travelled but do not know the exact mileage, click the Journey tab. This feature uses Google Maps to calculate the route and distance for you.
Select the vehicle used and enter the date of the journey. Enter the start and end locations in the fields provided. You can use postcodes or full addresses.
Once all required locations have been entered, click Calculate Journey and the distance will be populated automatically.

The arrows next to the location fields allow you to reorder stops within the journey. Click the red delete icon to remove a location, or click the green plus icon to add an additional stop. You can also use the arrows to create a return journey.
Add any tags needed for reporting purposes.
Click Save to add the journey.

Odometer
Click the Odometer tab. This method is less commonly used for private vehicles, as the total odometer reading may include personal mileage.
Select the relevant staff member, the vehicle used and the date of travel, then enter the odometer details.

The previous odometer reading is displayed, so you only need to enter the new reading. Zeropath will calculate the distance travelled automatically.
If this is your first entry, an opening reading should already have been recorded against the vehicle. This will appear as the last reading on this screen. The Odometer tab cannot be used unless an opening reading has been entered for the vehicle.
Enter any tags needed for reporting purposes and click Save to complete the entry.
Checking your entries
Your saved entries appear in the Most recent entries panel on the right. Use the Filter to select a time frame and see entries within that period. You can filter by the last 7 days, 14 days, 30 days, 3 months, 6 months or up to a year.

Click the dropdown arrow next to any entry to expand it and view the full details, including the carbon emissions associated with that entry.
