Manual entry - Business travel - Staff Vehicles

Use this section to record mileage claims and fuel consumption for staff owned vehicles used for business purposes. These are personal vehicles owned by employees and used for business travel.

In most cases, emissions will be recorded using mileage claims. You can also enter fuel purchases where applicable. If this information is not available then odometer readings and journey information can be added. Although odometer would probably be of more use for company vehicles where all travel is business related.

In each instance, select the staff member and vehicle they drive.

Mileage

Select the period you are recording data for and enter the total number of miles travelled. Assign the entry to the relevant business unit and apply any tags if required.

To check that the entry has been saved correctly, use the Filter box under Most Recent Entries to select the time period you wish to review. Then click the dropdown arrow next to the entry to view the details.

Journey

If you are calculating carbon emissions based on distance travelled but do not know the exact mileage, select the Journey option. This feature uses Google Maps to calculate the route and distance for you.

Select the vehicle used and enter the date of the journey. Then input the start and end locations in the fields provided, you can use postcodes or full addresses.

Once all required locations have been entered, click Calculate Journey and the distance will be automatically populated.

Within this section, the arrows next to the location fields allow you to reorder stops within the journey. The red delete icon can be used to remove a location, while the green plus icon allows you to add an additional stop. You can also use the arrows to create a return journey.

Tags are available if you need to apply any coding for reporting purposes.

Once all details have been entered, click Save to add the journey.

Odometer

For odometer readings, select the Odometer section. Please note that this method is less commonly used for private vehicles, as the total odometer reading may include personal mileage.

Select the relevant member of staff, the vehicle used, and the date of travel before entering the odometer details.

The previous odometer reading will be displayed, so you only need to enter the new reading. Zeropath will automatically calculate the distance travelled.

If this is your first entry, an opening reading should already have been recorded against the vehicle. This will appear as the last reading on this screen.

Enter any required coding in the Tags field and click Save to complete the entry.

Please note that the Odometer section cannot be used unless an opening reading has been entered for the vehicle.
